
CANADA 55+ GAMES - TEAM YUKON
Chef de Mission Job Description
The Team Yukon Chef de
Mission is nominated and approved by a motion of the Board of Directors of the
ElderActive Recreation Association, the Governing Body responsible for Team
Yukon’s participation in the bi-annual Canada 55+ Games (formerly called the
Canada Senior Games). The ERA
reserves the right to select more than one Chef de Mission if required.
Purpose
of Position: To provide
support to Team Yukon prior to, during and after the Games so that participation
in the Canada 55+ Games is a positive experience for Team Yukon Members.
Accountability:
The Chef de Mission reports to
the President of the ERA, and works with the Team Yukon Organizing Committee,
which is appointed by the ERA Board of Directors. The Chef provides regular progress reports to ERA prior to
the Games and a final report after the Games.
During the Games, any unusual circumstance is brought before a Board
Member.
Responsibility:
The Chef makes every effort to
promote a setting in which all Team Members can have a positive Games
experience. This includes
preparation and organization of, and communication to Team Yukon Members before,
during and after the Games. The
Chef de Mission is not responsible for the financial accounting for Team Yukon,
but can, by ERA request, make recommendations related to this accounting.
The financial accounting and accountability is the responsibility of the
ERA. All expenses for Team Yukon
are pre-approved by motion of the Board of Directors of ERA. The Chef de Mission
receives no payment from ERA for performing his/her duties, but where possible,
the ERA provides a rental car for the Chef at the Games and incurs the cost of
cell phone use.
Qualifications:
Team Player; flexible, good
with people; good communication, organizational and presentation skills; Games
experience a definite asset; First Aid qualifications an asset.
Duties:
(a)
Pre-Games Duties:
·
Participates on Team Yukon
Organizing Committee; prepares working binders, a work plan, timelines and
meeting agendas for Organizing Committee; arranges & chairs meetings of
Committee; provides input into Committee functions
·
Makes presentations to potential
Team Yukon Members at ERA General Meetings and Team Yukon Meetings
·
Assists with preparation &
distribution of Games information packages
·
Assists in planning of Team
Meetings, Pep Rally, Team Yukon Hospitality Night
·
Responds to Team Yukon Members’
enquiries
·
Reports regularly to ERA; performs
other duties as requested by the ERA
(b)
Games Time Duties:
·
Arrives (if possible) a day before
Team Members to get oriented & get info
·
Ensures all Team Members have
arrived at hotel and registered for Games
·
Sets up bulletin board in Team
Hotel and post information re: transportation,
activity schedules, special/social events,
entertainment, Yukon medalists, etc.
·
Ensures that Team members are
informed of special notices, changes, etc.
·
Endeavors to attend as many
events/activities as possible, to provide support to Team Yukon and to take
photos of as many Team Yukon Members as possible
·
Contacts Yukon media with
information and photos
·
Assists with Team Yukon
Hospitality Night
·
Addresses any problems and
concerns related to Team Yukon Members
(c)
Post-Games Duties:
·
Sets a final meeting with Team
Yukon Organizing Committee for feedback and recommendations for next Games
·
Prepares and presents a final
report to the ERA Board of Directors
·
Assists with Team Yukon post Games
gathering (if there is one); presents a slide show of Games photos at gathering
(if possible)
·
Provides information for Yukon
media; sets up radio interviews
·
Send a list of Yukon medal winners
to Government of Yukon for the “Awards of Recognition” presented at the
Annual Sport Yukon Awards Night
·
Assists, when required, with
sending appropriate thank you letters or other correspondence
·
Provides photos where required for
thank you ads for Sponsors, websites, etc.
·
Provides photos for CSGA website
